About this role:
Heliogen is seeking a Grants Administrator with specific experience in managing government grants. You will be responsible for assisting with the entire grant lifecycle, from proposal development to post-award management and closeout. This is a highly collaborative role that requires excellent communication and organizational skills, as well as an ability to manage multiple projects simultaneously. The Grants Administrator plays a critical role in ensuring that all grant activities are conducted in compliance with federal regulations and guidelines.

In this role, you will: 
The Grants Administrator will work closely with internal and external stakeholders to ensure compliance with grant requirements and will ensure that all reporting obligations are met, including, but not limited to:
  • Work with the R&D and Government Affairs team to assist with the coordination and preparation of proposals, budgets, and supporting documentation for submission to relevant government parties. 
  • Maintain an internal grant management database with a focus on grant reporting timelines and deliverables. 
  • Coordinate with internal and external stakeholders to ensure that grant proposals meet all necessary requirements and are submitted on time. 
  • Assist the engineering team with the grant award process, including negotiating terms and conditions of the award and preparing necessary documentation for execution. 
  • Monitor grant progress and compliance with award requirements, including tracking of project milestones and deliverables. 
  • Provide contract administration support. Ensure that all grant activities are conducted in accordance with the terms and conditions of the award, as well as with all applicable federal regulations and guidelines. Coordinate with internal groups to ensure requirements are being satisfactorily fulfilled. 
  • Prepare and submit all required financial and progress reports, ensuring accuracy and timeliness of submissions. 
  • Manage any required modifications to grant awards, including preparing and submitting necessary documentation for approval. 
  • Coordinate with internal and external stakeholders to ensure that grant-funded projects are completed on time and within budget. 
  • Maintain strong professional relationships with program officers at the Department of Energy and other relevant agencies. 
  • Keep up to date with changes to grant regulations and guidelines and ensure that internal policies and procedures reflect current best practices. 
  • Collaborate with other corporate teams and business units to improve policies and procedures related to government contracts.

What's essential:  
  • Bachelor's degree in business administration, public administration, finance, or related field. 
  • Minimum of 3 years of experience in grant administration, with specific experience managing grants from the Department of Energy. 
  • Strong understanding of federal grant regulations and compliance requirements. 
  • Experience preparing grant proposals, budgets, and supporting documentation. 
  • Experience ensuring compliance with federal regulations and guidelines related to grant management. 
  • Excellent written and verbal communication skills. 
  • Highly organized and detail-oriented, with excellent project management skills. 
  • Ability to work independently and as part of a team. 
  • Experience with grant management software. 
  • Experience providing training and support to staff on grant compliance requirements. 
Desirable: 
  • Previous experience as a Project Manager
Salary: $130-160k (depending on experience) + equity + benefits
