Position Summary
The Workplace Experience Coordinator will play a crucial role in ensuring a seamless and positive experience for employees at our Reamwood Sunnyvale and Zanker San Jose locations. This position involves coordinating daily office operations, catering, event planning, maintaining our office and clean room, managing shipping and receiving duties, and supporting various workplace initiatives.
Roles & Responsibilities
- Office Operations:
- Assist in the daily operations of the office, ensuring a clean, organized, and efficient work environment.
- Maintain conference rooms.
- Coordinate with the Workplace Experience Manager to implement workplace policies and procedures.
- Monitor purchase, & stock office supplies.
- Manage office maintenance requests and liaise with building management and vendors.
- Keep snacks stocked and lunches ordered as requested, including setup and breakdown.
- Maintain seating charts and updated floor plans.
- Clean Room Management:
- Ensure Janitorial Staff Properly Cleans the Clean Room.
- Coordinate clean room cleaning to minimize disruption to daily activities.
- Ensure proper stocking of clean room supplies and materials.
- Shipping and Receiving:
- Receive mail and packages per receiving process/policies
- Maintain a clean shipping area.
- Send small packages as needed.
- Employee Experience:
- Serve as a point of contact for employees, addressing their workplace-related inquiries and concerns.
- Assist in organizing and coordinating workplace events, activities, and programs to enhance employee engagement and satisfaction.
- Order IT equipment as needed.
- Respond to employee inquiries via Jira ticketing system promptly.
- Support new hire onboarding and orientation processes.
- Coordinate IT support.
- Location Coordination:
- Spend 4 days a week at our Reamwood Sunnyvale location and 1 day a week at our Zanker San Jose location, ensuring consistency in workplace experience across both sites.
- Collaborate with cross-functional teams to ensure a cohesive and integrated workplace experience.
- Event Planning:
- Work closely with the Workplace Manager to plan and execute small and large scale events.
- Arrange services with caterers, decorators, and other vendors.
- Oversee the event setup, execution, and breakdown.
- Organize transportation, parking, and accommodations.
- Environmental Health, Safety, and Security:
- Purchase, stock, and store PPE items at San Jose and Sunnyvale locations.
- Coordinate purchase of individual protective gear with vendors.
- Assist with safety planning policy and implementation.
- Be the point of contact for security and first aid services.
Key Qualifications
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- 2+ years of experience in office administration, facilities management, hospitality, or a related field.
- Knowledge of office procedures is a plus but not required.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in Google Workspace & Slack.
- Ability to work onsite at the Reamwood, Sunnyvale facility 4 days per week and at the Zanker, San Jose facility 1 day per week, or as needed.
- Ability to lift and carry up to 25 pounds.

Salary Range: $43.00 USD - $50.00 USD
Salary Basis: Hourly

The actual salary offered will be determined within the posted range based on a candidate's experience, credentials, and expertise as they pertain to the requirements of the position.
