What You Will Be Doing

  • Expense reports: Review expense reports submitted by employees for overall reasonableness; ensure that users are not in violation of Corporate Travel Policy and Government regulations.
  • Help Desk: Provide backup support and engage in solutions to user problems to ensure user satisfaction and productivity.
  • Reports: Review all daily, weekly and monthly reports to ensure that data is processing correctly per audit rules and Corporate policy. This includes ensuring receipt flags are set properly and employee data is updated properly.
  • New implementations: Work with the management, and IT staff to set up and monitor implementation of new business units on the Corporate Travel and Expense reporting solution. This could be due to acquisitions or the growth/reorganization, and adoption of corporate business units using the automated expense reporting system.
  • Duties include training all new travelers in the use of the Corporate Travel and Expense reporting solution to adhere to Corporate Travel Policy. Corporate Card administration: Work with business unit to assist in card reconciliation when card may have been suspended or canceled.
  • Support as necessary the linking of new Corporate Cards to employee in expense reporting system to ensure Corporate Card automated feed of charges. Monitor Corporate Card payments and refunds.
  • Auditing: Work with audit agencies (government, external and Internal) to assist with all required audits. This includes providing copies of expense reports as required and answering any questions the auditors may have about processes or the Corporate
  • Travel Policy. System maintenance: Make changes to audit rules, reports and system settings to ensure compliance with Corporate Travel Policy. Activate and maintain employee data. Monitor payroll reimbursements. Continually improves business processes in all assigned areas of responsibility. Provide back up support across T&E as needed. Other duties as assigned, including adhoc report request, and project work.

What You Will Bring to ChargePoint

  •  Employee Relations Provides assistance to the internal Shared Services and Management staff. Works directly with employees to address complaints, requests and other matters relating to expense reporting and Corporate Travel Policy. Supports the IT Infrastructure/Data Center. Must be able to answer all questions pertaining to job responsibilities. Must be able to work with Executives or their delegates to support them with any expense reporting issues. Questions must be handled with diplomacy, friendliness, accuracy, timeliness and confidentiality.

Requirements

  • Should have at least 2 years experience in Payroll, Accounts Payable, or General Accounting. Expensify experience a plus. Knowledge Required
  • Software - Must have a working knowledge of expense reporting software and Microsoft products with Excel expertise. Experience with report writers would be helpful, specifically Cognos.
  • Equipment -- Computers: PC Business Contacts: Internal Employees worldwide; Human Resource personnel; Payroll personnel; Shared Service Financial personnel; IT; Corporate personnel including Executives; Group Headquarters personnel External Corporate Card providers, Auditors, Consultants, Software support Money Supports the payment of IBCP/CBCP Corporate Card charges, employee reimbursement and expenses charged to the business unit ledgers.
  • This position requires some knowledge and experience in Payroll, Computer skills, Accounts Payable, Travel Reimbursement and General Accounting to handle the daily activities and provide customer support. Knowledge in the different Accounting processes (Corporate Card, G/A, Payroll, A/P, etc.)
