ROLE SUMMARY: 

Rivian is looking for a highly motivated Workplace Operations Specialist to lead Workplace Operations and Facilities services at Rivian’s first Belgrade, Serbia office. This individual will be responsible for ensuring a successful Facilities new market entry, managing site operations, space management and forecasting, stakeholder relationships, vendor management, and multiple projects from space programming to commissioning the facilities and various operations projects.  


Responsibilities 
 

  • FACILITIES MARKET ENTRY Rivian is making its debut in Belgrade. This role will be the first hire for Facilities and this role will be responsible to manage local building department/government relations both prior to commissioning and ongoing.  
  • LEAD Responsible for workplace site operations on a day-to-day basis. This includes providing office and workplace services, onsite meeting and event coordination, vendor management, and establishing a Facilities Operations team as the market grows.  
  • SPACE MANAGEMENT Manage space allocations for employee neighbourhoods, track weekly new hires and terminations. Responsible for updating space management software. Collaborate with the site stakeholders to gather future space needs and evaluate current space usage to inform the market master plan.  
  • SPACE FORECASTING Manage the 3 year look ahead for Facilities and space requirements/programming. 
  • SERVICES With Belgrade being a new market for Rivian, this role will be responsible for taking all Workplace Services out to RFP to establish vendor contracts. Once established, this role will be responsible for managing the vendors with excellence and look for continuous opportunities for improvement. Example of vendors: janitorial, building maintenance, food services.  
  • BUDGET MANAGEMENT Create the site operating expense financial forecast and maintain to budget.  
  • PROJECT MANAGEMENT Lead workplace projects by defining scopes of work, creating a strategic plan, receive input from stakeholders, partner with project partners, and execute. 
  • PARTNER Effectively partner with various departments to create a great workplace; the primary partners are Culinary, Occupancy Planning, People and Process, EHS, IT, Sustainability, Security and Logistics. 
  • CONTINUE TO MAKE RIVIAN A GREAT PLACE TO WORK Continuously evaluate the workspace Rivian provides to their employees and generate ideas on how to improve the spaces, services, processes, and programs to consistently align with company priorities and employee needs.  

 

Requirements: 

  • Fluent in English and Serbian  
  • 3+ years of experience in facilities management, and workplace services 
  • Bachelor’s Degree or equivalent experience 
  • Proficient with Microsoft Office and Bluebeam Revu 
  • Ability to read and navigate through construction documents 
  • Ability to coordinate multiple projects at the same time
  • A customer service-oriented personality who brings positive energy and happiness to the workplace
  • Fantastic communication, organizational, and problem-solving skills 
  • An open mind to change practices that are not accomplishing the desired results
