The People Team Coordinator is a central force behind the People Operations remit of delivering exceptional employee experiences across the full employee lifecycle. This role combines precision, problem-solving, and interpersonal skills to support three critical areas: high-volume and high-complexity interview scheduling, accurate and timely payroll administration, and seamless company event execution.
This is a hands-on, highly visible role that directly enables our team to scale and support a growing workforce effectively. By managing essential operational HR processes, the People Team Coordinator will facilitate how Antora lives out our core values every day - putting Team & Mission First, Building with Openness & Humility, and Connecting through Joy & Laughter. Schedule and manage high-volume, complex interview agendas across a wide array of job types ensuring an exceptional candidate experience.
Serve as a warm, responsive point of contact for candidates throughout the interview process.
Partner closely with recruiters, hiring managers, and interview teams to manage changes and ensure timely feedback.
Support executive-level searches by coordinating complex schedules and candidate logistics.
Maintain accurate data in Greenhouse ATS and drive improvements and AI automations to our scheduling workflows.
Administer end-to-end payroll operations in partnership with payroll providers, ensuring timeliness and accuracy.
Process timecard adjustments, missed/inaccurate submissions, garnishments, benefit audits, and bonus processing.
Partner with leaders to validate and adjust timecard submissions as needed.
Work diligently with teammates to troubleshoot and resolve their payroll discrepancies in collaboration with Finance and UKG support.
Maintain organized and compliant payroll records.
Support new-hire pre-boarding and onboarding logistics including UKG profile setup, IT equipment, and Day 1 orientation experience.
Coordinate company events and teammate / employee-resource-group engagement activities.
Own task-level execution for event logistics including catering, vendor coordination, and communications.
Identify and implement process improvements and automation opportunities across People Operations workflows.
2+ years of experience as a Recruiting Coordinator, HR Coordinator, or Payroll Administrator in a fast-paced, partnership-oriented environment.
Exceptional organizational skills with the ability to manage a high-volume of competing priorities effectively.
Demonstrated aptitude in attention to detail, data accuracy, and operational follow-through.
Excellent written and verbal communication skills, including the ability to work effectively with all levels of leaders, employees, and candidates.
A customer service mindset and calm, solutions-oriented approach under pressure.
Experience supporting both recruiting operations and payroll administration
Expertise with Greenhouse (ATS) and UKG (HRIS)
Prior experience in both hardware technology engineering and manufacturing, production, or similar high-volume hiring environment
Demonstrated passion for clean energy, climate technology, or mission-driven work
Experience coordinating events and employee engagement activities in growing organizations
Work Location: Onsite - San Jose, CA
Hourly Pay Rate Range: $45 USD - $55 USD

The actual salary offered will be within the posted range and determined based on several factors including but not limited to a candidate's experiences, credentials and expertise, as they pertain to the position's requirements.
