About This Role:

The Executive Assistant & Recruiting Coordinator role is essential to keeping Crusoe’s operations running smoothly and ensuring a world-class candidate and employee experience. You’ll support senior leaders and the recruiting function in a fast-paced, mission-driven environment, balancing organization, discretion, and adaptability.

This position is ideal for someone who thrives on coordination, communication, and problem-solving ensuring every meeting, interview, and process runs seamlessly. This is a full-time position based in Tel-Aviv, with flexibility for occasional remote work.

What You'll Be Working On:

  • Executive Support

    • Manage complex calendars, meetings, and travel logistics for senior leaders across time zones.

    • Prepare agendas, briefing materials, and action summaries for leadership meetings.

    • Coordinate internal communications, follow up on deliverables, and ensure alignment across departments.

    • Handle sensitive information with discretion and professionalism.

    • Support planning for leadership offsites, internal events, and team gatherings.

  • Recruiting Coordination

    • Partner with recruiters and hiring managers to schedule interviews across multiple teams and locations.

    • Communicate with candidates to confirm logistics and ensure a smooth, professional interview experience.

    • Coordinate interviewer schedules, manage last-minute changes, and proactively resolve conflicts.

    • Maintain ATS data accuracy, track candidate progress, and follow up on feedback.

    • Support onboarding logistics and new hire scheduling as needed.

  • Operational Support

    • Contribute to improving recruiting and administrative processes for efficiency and consistency.

    • Collaborate with People, IT, and Workplace teams to support key initiatives and events.

    • Assist in internal communications, tracking key deliverables, and preparing reports for leadership.

What You'll Bring to the Team:

  • 3+ years of experience as an Executive Assistant, Recruiting Coordinator, or similar role in a fast-paced environment.

  • Strong calendar management and scheduling skills across global time zones.

  • Excellent organizational and multitasking abilities with strong attention to detail.

  • Exceptional written and verbal communication skills.
    Proficiency in Google Workspace, Slack, and ATS systems (e.g., Ashby, Greenhouse, Lever).

  • Discretion and sound judgment when handling confidential information.

  • A proactive, service-oriented mindset with the ability to anticipate needs and resolve issues before they arise.

Bonus Points:

  • Experience in a high-growth or tech/startup environment.

  • Familiarity with recruiting processes and talent operations.

  • Event planning or office operations experience.

  • Experience working with senior executives or cross-functional teams.
