Onboarding Operations Specialist
Crusoe is on a mission to accelerate the abundance of energy and intelligence. We’re pioneering the vertically integrated, purpose-built AI infrastructure trusted by Fortune 500 companies to power their most advanced AI applications. As an Onboarding Operations Specialist, you'll be the operational engine behind a seamless new-hire experience, ensuring every new Crusoe employee is set up for success from offer acceptance through their first week. You’ll be a trusted voice to new hires, guiding them through critical moments and ensuring our systems, processes, and communications reflect the best of who we are. We're seeking an organized, proactive, and empathetic professional with 2–4 years of experience in HR operations. This is a full-time, on-site position in either San Francisco or Sunnyvale, CA.
What You'll Be Working On
  • Onboarding Logistics and Coordination: Partner with IT, Workplace, Recruiting, and HRBPs across multiple geographies to ensure all necessary steps are complete for new-hire orientation. You will also manage the global onboarding inbox, working across departments to provide timely answers to new hires.
  • Communication and Content Management: Own and continuously refine new-hire and manager email communications to ensure they set the right tone, provide accurate information, and convey Crusoe’s culture from day one.
  • Orientation Management: Orchestrate all calendar events and secure speakers for onboarding sessions at each Crusoe location. You will also support day-one logistics and setup, contributing to a welcoming and exciting orientation experience.
  • Data and Systems Integrity: Ensure the data in our HR system of record is accurate and up to date, coordinating with recruiting, hiring managers, and new hires as start dates and locations change.
  • Pre-Employment Checks: Manage final pre-employment checks based on role requirements, gathering updates related to background checks, drug and alcohol testing, and visa requirements. You will coordinate directly with new hires, internal program owners, and leaders.
  • Process Improvement: Actively identify opportunities for improvement and work cross-functionally to implement better ways of working and enhance the overall onboarding experience.
What You'll Bring to the Team
  • Experience: You have 2–4 years of experience in HR operations, onboarding, or similar coordination roles within a fast-paced environment.
  • Technical Skills: You have a proven precision with systems and data and are familiar with ATS/HRIS and calendar tooling.
  • Communication: Your written communication is excellent, with the ability to craft clear, empathetic, and on-brand messages.
  • Work Ethic: You are an organized, proactive, and unflappable professional who can juggle multiple deadlines effectively. You have a high degree of discretion with sensitive information and a strong service mindset for all stakeholders.
Bonus Points
  • Experience helping a company transition from one HRIS to another, or assisting with a new system implementation.
  • Experience in coordinating corporate events, workshops, or training sessions.
  • A foundational understanding of other HR functions like benefits, payroll, or employee relations.

Compensation
Compensation will be paid in the range of up to $90,000-$120,000 a year. Restricted Stock Units are included in all offers. Compensation to be determined by the applicants knowledge, education, and abilities, as well as internal equity and alignment with market data.
