To provide a document control function to all Commercial and internal Engineering projects. This will entail accurate and efficient preparation and management of documentation in a timely manner in line with agreed standards.
The successful candidate must be enthusiastic about joining a fast growing company and keen to assist with the development of systems and solutions during the build and develop phases.
Key Responsibilities and Outcomes
- Ensure that all internally produced engineering drawings and project documentation are checked, accurately recorded and distributed using the document management System (EDMS) to the project, client teams and third-parties.
- Be part of the design, implementation and ownership of the selected EDMS
- Ensure client, supplier and third-party documents are received, processed and distributed in a timely manner.
Requirements
To be successful in this role you should have a combination of the below knowledge, skills, and experience:
- Check compliance and quality of documents
- Control and manage submission of deliverables to clients and suppliers
- Ensure deliverables are received in a compliant manner and to require schedules from suppliers and clients
- Revision control – ensuring all project team members are using the latest revision and that revision commentary is updated and tracked.
- Contribute to the implementation of the new document control system (EDMS)
- Development of all document control processes.
- Creation and updating of distribution matrix within the EDMS.
- Creation and updating of document workflows within the EDMS.
- Weekly/monthly progress reporting on MDR and document status / maintaining KPIs (Key Performance Indicators).
- Application and maintenance of document meta-data.
- Training new users onto EDMS and key point of contact for technical issues
- Create and maintain project folder structures within the EDMS
- Experience as a document controller in an engineering project environment. Process industries knowledge (chemicals, Oil and Gas or similar) is preferable but not necessary.
- Exposure, either working for or as an interfacing supplier or client to, EPC Contracting environments
- High levels of experience with EDMS systems
- Demonstrated high level or autonomy, diligence and a collaborative, positive nature is essential
- Eye for detail when revieiwing project documentation for quality and consistency
- Demonstrable experience dricing document management excellence in project environments within ambiguous and changing circumstances
