Job Description

Lilac is seeking an Administrative Assistant to provide assistance to the company’s Vice President (VP) of Engineering, Lithium Division and support the Lithium Division team. This person will report directly to Lithium VP and will assist with technical document management, organizing calendars, external communications, travel planning, expense management, event registrations, meeting preparation, obtaining signatures, and provide back-up administrative support to other teams/departments as necessary. This is a full-time position located in Vancouver, BC Canada.

Responsibilities 

  • Technical and non-technical document management from external and internal sources
  • Record-keeping and storage of relevant files
  • Manage the VP of the Lithium Division calendar
  • Organize daily operations to ensure maximum efficiency
  • Attend meetings ( business and technical ) and produce meeting notes and action lists 
  • Support the Lithium Division members as necessary
  • Develop and manage report and spreadsheet templates
  • Support department and project reporting requirements

Candidate Qualifications

  • Associates degree or equivalent experience
  • 5+ years of experience in Administrative or administrative assistant roles
  • Experience managing multiple priorities in dynamic, fast-paced environments that require flexibility and time-management skills
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
  • Proficient in Microsoft Office suite
  • Proficient in Netsuite

Preferred Skills

  • South American experience 
  • Spanish language skills
  • Experience in engineering, construction, natural resources projects in either chemicals or mining industries
  • Knowledge of Primavera Project Management, P6

  • Salary range: $60K-$80K CAD annually (commensurate with experience)
