GreenLight Biosciences is seeking an exceptional, highly motivated Administrative Assistant and Receptionist to provide a full range of administrative support to a 70+ employee office. Additionally, this role will have the opportunity to provide executive-level support to Plant Health Technologies. The ideal candidate will have experience in leadership & office support and administrative functions. Organizational skills and flexibility are a must.

Specific responsibilities will be assigned to balance the skills of the Executive Assistant and Office Coordinator. These talents can, and will include: positively representing and managing the office business, computer, and communications functions at RTP (first and third floors). Assuming responsibility as a receptionist in and daily operations of RTP. Create & implement office systems while positively representing GreenLight. Incorporates company mission, culture, goals, values, philosophies, and policies into day-to-day work to maintain an inclusive environment and positive relationships with co-workers and guests of GreenLight. Retains confidentiality regarding location business. The Administrative Assistant will report to the Executive Assistant & Office Coordinator and be a part of the operations team.

 

DUTIES AND RESPONSIBILITIES 

The Administrative Assistant will manage and support the daily needs of office operations. This can and will include:

  • Working closely with and reporting to the Executive Assistant and participating in ad-hoc projects.
  • Model and project a professional and positive image in all interactions. Greet visitors upon arrival at the office and guide them to their meeting location. Ensure that all staff and guests are given a GreenLight Greeting.
  • Keep the work environment and equipment safe, clean, attractive and in good working order. Maintain a neat and orderly appearance front desk, common spaces, and conference rooms.
  • Ensure all new hires have the correct IT equipment, office supplies, etc., greet and tour on the first day, and coordinate any additional office logistics.
  • Order and maintain office supplies and manage vendor relationships.
  • Arrange and organize catering for events & external meetings.
  • Reserve large meetings, off-sites, and company events.
  • Handle requests/complaints promptly and with a high level of customer service when they are within the reason and budget scope.
  • Inform the Executive Assistant of the request/concern immediately if additional guidance is needed. Assist staff, as needed, to understand usage of the systems.
  • Update & maintain information on TruDigital.
  • Plan office social events and announcements.
  • Type and file information as necessary.

 

PROFESSIONIALISM & STANDARDS

  • Develop positive relationships with colleagues, visitors, ARE staff and external guests through professional and respectful communication and collaboration. Proactively work to resolve issues and concerns.
  • Uphold all security procedures involving visitors, out of town employees. Monitor sign-in and sign-out procedures with FOBS assignments.
  • Respond to and integrate change in a positive and constructive manner. Take responsibility for actions. Give and receive feedback with respect and a willingness to make suggested changes for professional growth.
  • Protect confidential information related GreenLight Biosciences, and treat necessary communications related to such information with sensitivity

QUALIFICATIONS

  • 2+ years experience in an administrative role.
  • Proficient in Microsoft Office, specifically Outlook, Teams & Zoom.
  • Excellent communicator both verbal and written.
  • Strong attention to detail and time management skills.
  • Ability to multi-task and shift focus when there are competing priorities.
  • Must be highly motivated with exceptional communication, guidance, and teamwork skills. Must be able to sustain effective office systems where implemented.
