The Workplace Experience Coordinator supports a welcoming, efficient, and well-supported environment for employees, visitors, and partners. This role serves as the face of the company at the front desk while managing daily office operation - including mail, supplies, and light facilities and administrative support. Front Desk (Visitors, Mail, Shipments)
Provide warm, professional front-of-house coverage during business hours. Greet, badge, and host visitors, candidates, and contractors and promptly notify hosts.
Maintain a polished, “ready now” appearance for the lobby, reception, and conference rooms.
Serve as the first point of contact for in-person inquiries, ensuring a professional, friendly impression.
Receive and route incoming mail and packages to appropriate recipients. Prepare outgoing shipments (FedEx/UPS/LTL) and ensure accurate labeling and tracking. Coordinate delivery handoffs to the adjacent warehouse with clear communication and documentation.
Kitchens, Supplies & Purchasing
Support restocking kitchen supplies, snacks, beverages, and office supplies.
Support lunch and catering logistics, including vendor coordination, setup, teardown, and light cleanup.
Track and replenish office inventory; partner with vendors to ensure timely supply orders and deliveries.
Office Operations & Facilities
Coordinate building access, maintenance, and vendor work; escort technicians and contractors as needed. Assist with short term credentials for contractors and service providers as needed.
Backup & Special Support
Provide front desk or coordination coverage during vacations or absences.
Assist with general administrative support requests from Leaders, People Team and Chief of Staff to CTO as needed.
Other duties as assigned
3+ years of experience in office coordination, facilities, or front desk operations.
Strong customer service orientation and communication skills.
Comfortable with workplace technology (Google Workspace, Slack, Envoy, etc.).
Excellent organization, attention to detail, and time management.
Ability to lift up to 25 lbs and manage light setup tasks as needed.
