Summary:

The Leadership Administrative Partner will be responsible for providing administrative and leadership support to the Chief Legal Officer. More than that, the Leadership Administrative Partner will become the right hand of the Executive, working closely to ensure efficiency and productivity.

This position will be responsible for performing several administrative duties including, but not limited to, organizing and coordinating schedules, meetings, travel, expenses, department leadership meetings, board of directors’ meetings, speaking engagements, etc. The position will also be responsible for working with the Chief Legal Officer and department leadership on communication strategy, content, tracking cross department initiatives and general objectives for the Chief Legal Officer. The Leadership Administrative Partner will possess excellent written and verbal communication skills, exercise mature and professional judgment, ability to operate at a senior level with confidentiality and discretion, experience working with senior executive management and outside board members and have outstanding time management skills.

 

Responsibilities: 

  • Assisting with onboarding for new employees (scheduling introductions, week 1 agenda, supplies, IT equipment, badge)                           
  • Leading a high volume and complex calendar
  • Taking the notes with distilling insights/take aways and some filtering in mind, still relies on having support and review
  • Travel - book travel (airfare, hotel, car rental, train)
  • Reports - any type of weekly, bi-weekly or monthly reports
  • Expenses - enter and own all expense reporting
  • Requisitions within Coupa - enter all req requests for the team and own the process from start to finish, including invoicing
  • Event and leadership meeting content and coordination - help plan/execute on offsite events, leadership retreats, team building events, all hands, impromptu working session
  • Maintains strict level of complete confidentiality with a high volume of confidential information
  • Organizes and maintains file systems, correspondence, and other records (paper and electronic as required).
  • Handles internal/external correspondence.

 

Preferred Qualifications: 

  • Bachelor’s degree or equivalent experience required
  • 6+ years of experience in an administrative role preferably in the tech industry and supporting senior leaders in the legal environment
  • Advanced Microsoft Office skills, with an ability to become familiar with Company and/or task specific programs and software;
  • Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities;
  • Highly organized and able to prioritize under pressure;
  • Positive attitude and strong business acumen;
  • Ability to multi-task in a fast-paced environment and anticipate last minute changes
  • Salary range for Palo Alto, CA based applicants: $104,000 - $120,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law)
