About the Role:

This Senior Facilities Administrator is critical in ensuring that our daily farm operations run smoothly at each campus location and that the farm business can grow as efficiently as possible. You’ll be responsible for ensuring that campus maintenance programs are standardized and kept up to date, coordinating with Hardware, Deployment, and Construction teams to ensure that technical drawings and parts lists are imported into our facilities management software for every new campus, overseeing facilities training for new hires, and monitor facilities reports for accuracy and consistency. 

In addition, you develop worker safety procedures and training protocol in conjunction with our worker safety consulting company Lancaster Safety Consulting Inc. You'll with LSCI to identify and prioritize the creation of necessary worker safety documentation, work with central and campus teams to develop a Google Drive structure for worker safety written materials and training records, work with campus teams and Michelle Walters (L&D Manager) to roll out worker safety training across all campus team employees, and ensure all training is accurately documented.

You'll be reporting to the Senior Manager of Farm Ops and will also engage in plenty of cross-functional work, including but not limited to Engineering & Technology, Business Operations, Food Safety and Quality Assurance, and People teams.

You Will:

  • Be responsible for setting up our facilities management CMMS software for each new campus launch and acting as technical support for software-related issues
  • Coordinate with hardware, deployment, construction on drawings, O&M manuals, data imports, new campus configuration, Slack integration
  • Be accountable for worker safety across campuses, including OSHA requirements, internal safety audits, etc. 
  • Supporting / training campus teams on data imports and changes to hardware components and Preventative Maintenance programs.
  • Define processes and best practices for managing spare parts & inventory for a campus
  • Ensure that all 3rd party visits are logged through our facilities software for audits, food safety, and for yield/facilities analysis and that required documentation is on file (e.g. Certificates of Insurance)
  • Propose new facilities-related features to our internal software team and map out a long-term plan to integrate our internal software with our 3rd party facilities software

You have experience with:

  • Computerized Maintenance Management Systems (CMMS) and have used them in a previous job
  • Facilities Management - although this is a remote position we would expect this role to have a deep understanding of the technical aspects of electrical and plumbing systems as power + water are the primary inputs to our farms.
  • Worker safety - someone with an understanding of OSHA standards and the importance of worker safety. Part of this position is holding teams accountable for training and documentation.
  • Written documentation - creating concise reports on the most important threats to a facility with actionable plans on how to resolve them - someone who can review Upkeep, summarize what keeps happening or is a large problem when it does occur, and brainstorm with relevant stakeholders to ultimately present how we should approach resolving it
  • Goal-setting - the ability to evaluate projects based on their impact on efficiency and profits to determine where to allocate investment and why - someone who can evaluate issues, quantify their impact on the business (with support from others centrally), and prioritize which issues to escalate to engineering/biz ops.

  • Tech-savvy, able to navigate various software platforms, and has above-average computer literacy - based on location there will be some on-site traveling for training, troubleshooting, and support but 80%+ of the work is going to be over zoom + from a comp. All of the technical requirements of this position will need a strong foundation of computer skills in order to succeed.
  • An excellent communicator - this role will require high-caliber written and verbal communication skills, as it is a cross-functional role and it will be essential that this person can effectively communicate/liaise with third-party contractors and the campus team
  • An empathetic and patient collaborator - as a key stakeholder working with campus teams it will be necessary that the person filling this position has the ability to listen and receive feedback from folks on the ground, and develop solutions that cater to their processes.

COVID-19 Vaccination Policy:

New employees are required to be fully vaccinated prior to their start date. The definition of fully vaccinated includes a booster for those that are eligible.

You are considered fully vaccinated if: 

  • You have received a full series of the vaccine recently (meaning 2 doses within 5 months for the Pfizer and Moderna vaccines, or 1 dose within 2 months for Johnson and Johnson). 
  • You received your full series over 5 months ago for Pfizer and Moderna or over 2 months ago for Johnson and Johnson, and have also received a booster shot. 

Proof of vaccination is required during the hiring process, and employees will be required to get booster shots as they become eligible to maintain their fully-vaccinated status.  

As federal guidance on booster shots evolves, the definition of ‘fully vaccinated’ may change.  

In accordance with EEOC guidance, if you are not vaccinated or do not intend to be due to medical reasons or deeply held religious beliefs, you may make an accommodation request and Square Roots will make a reasonable effort to accommodate you, subject to the requirements of the role you are applying for. 

Failure to be fully vaccinated by the start date without a documented accommodation will result in offer rescindment or termination.
