We are currently seeking a Senior Buyer as part of the retail procurement team.  The Senior Buyer is responsible for the start to finish lifecycle of purchase requisitions, purchase orders, and various other procurement activities within the Retail Development category. Duties include but are not limited to validating requests, analyzing requirements, communicating with requestor to close any data gaps, summarizing proposals, and facilitating orders. This role requires strong customer service capabilities in order to interact regularly with internal business partners (Retail Development, Design, Real Estate, Finance, Legal, Logistics, Accounts Payable and other cross functional teams on projects) to ensure the efficient purchase of construction materials, supplies and services which are used to develop showrooms and service centers globally. Ideal candidate must demonstrate a strong attention to detail.

You Will:

  • Process new vendor credit applications, NDAs and requests for new vendors in ERP (SAP).
  • Responsible for communicating with Sourcing Managers to fully understand their strategies and to execute responsibilities accordingly.
  • Process Jira request tickets, create PRs in SAP and once approved, create purchase orders.
  • Log and file purchase orders, work orders, ASRs and Change orders.
  • Personally, abides by and enforces ethical practices in all dealings with vendors through ensuring all vendor relations are devoid of any business practices which could be deemed as questionable business conduct.
  • Keep impacted stakeholders and Sourcing Team members advised of potential business or safety risk, including, but not limited to, shortages or extended lead-times on critical materials or products
  • As required, by established process and system, troubleshoot, and reconcile invoices with stakeholder and accounts payable where price and/or terms do not agree with purchase order
  • Create RFQs, review, analyze and clarify quotations from vendors and develop sound sourcing and business recommendations balancing cost, quality, lead-time, and technical considerations.
  • Summarize data into charts & diagrams for executive review.
  • As construction schedules adjust and change, work with CMs/DMs to update POs accordingly and notify suppliers so that material arrive when needed on site
  • Maintain spreadsheet trackers with updated data including PRs/POs placed, timeline and supplier commit dates.
  • Follow up on back orders; expedite with company any special arrangements for delivery; communicate to department the expected delivery date.
  • Support Electronic filing system and methods of documentation of purchasing activity to enable and satisfy an audit/inspection
  • Collaborate with Retail Development internal partners to make sure they are fully supported & have everything they need from supply chain to be successful.
  • Run Reports
  • Assist in the execution of global strategies for short- and long-range goals
  • Ensures contract compliance and utilization - monitors supplier performance, troubleshoots issues. Assist in conducting quarterly business reviews.
  • Ensure quality service and best available price on goods and services in an ethical manner, without compromising quality
  • Perform all other job-related duties as requested
  • You Bring:

  • Bachelor’s degree in related technical field, supply chain or finance discipline.
  • Minimum 6-year experience in a supply chain roll, e.g. purchasing, sourcing, inventory control, or equivalent education and work experience (Retail Development Procurement experience preferred)
  • Strong ability to communicate effectively, concisely, and logically in a timely manner and at an appropriate level, while maintaining confidentiality
  • Excellent organizational skills to function effectively under time constraints and within established deadlines, with particular attention to detail
  • Effective listening abilities with strong judgement and collaboration skills
  • Strong background and knowledge of the purchasing process (e.g., corporate purchasing policies and procedures, supplier management, accounting basics, preferred suppliers, sourcing strategies)
  • Working knowledge of purchasing and inventory systems
  • Open-minded self-starter with the ability to adapt, improvise and problem solve, as well as work independently on multiple tasks or projects.
  • Strong interpersonal skills with a high degree of resilience to deal with urgent requests, and minimal information. Ability to work in a fast-paced environment, with flexibility to adapt to our changing business needs.
  • Excellent analytical, negotiations and problem-solving skills. Passionate for results, strategy, and hands on execution. Creative, calculated risk taker with the ability to manage supply issues and resolve supplier disputes while preserving relationships with suppliers and internal partners.
  • Proficient in Microsoft office (Excel, Outlook, Word), Power Point, Word. ERP systems (SAP) a plus.
  • The candidate for this position is required to work in the office; Corporate office is in Newark CA.  (Under normal conditions).
