The Senior Associate, Payroll is a member of the Payroll department within the Human Resource department which is responsible for processing and maintaining payroll, payroll tax records and 401(k) plan transactions for approximately 550 staff across the United States. The individual is also part of the team responsible for the bi-weekly and monthly payroll transmission and for reviewing and inputting data as necessary.

As the Sr. Assoicate, Payroll contractor at Fluence, you will:

  • Work independently within the payroll department to ensure that payroll is processed and transmitted completely and accurately.
  • Perform audits on data entered and make appropriate adjustments. Verify accuracy of changes based on paperwork received and resolve discrepancies.
  • Manage all day-to-day payroll functions, including receiving, coding, verifying data entry and data retention of all payroll transactions impacting W-2s.
  • Ensure the complete and accurate calculation and distribution of W2s for staff.
  • Ensure each payroll is accurate, and any issues or concerns are communicated to the Manager, Payroll.
  • Process and maintain all transactions entered in Workday and ADP Workforce Now.
  • Review direct deposit information for all employees submitted via ADP Workforce Now.
  • Process, calculate, and post a variety of payroll processes, including wage garnishments, benefits withholding, overtime hours, severance payments and worker's compensation claims
  • Review benefit reports from Kelly Benefits, T. Rowe Price, legal and pet and prepare any imports into ADP Workforce now
  • Update and verify employee payroll data in ADP Workforce Now.
  • Ensure all payroll transactions are properly documented and approved and retained in accordance with the document retention policy.
  • Obtain the proper approvals to transmit information to ADP (taxes, garnishments, wage payments and checks), verify reports, and review for accuracy.
  • Develop and maintain annual payroll schedules and communicate the information to relevant staff.
  • Coordinate year-end activities with Benefits and HR related to Payroll.
  • Ensure that payroll related deductions are entered into the system properly.
  • Ensure voluntary benefits are processed accurately and reconciled regularly.
  • Process all general ledger reporting out of Workforce Now
  • Prepare monthly journal entry for Accounting
  • Research payroll issues as necessary. Resolve moderately complex issues, referring the most complex issues to more experienced staff, as necessary.
  • Assist Payroll Manager with day to day tasks and offer expertise as needed.
  • Maintain the payroll policies and procedures manual and update the information regularly as practices or laws change.
  • Remain up to date on Workforce Now functionality and process improvements.
  • Generate standard and ad hoc reports for management review and analysis.
  • Review ADP quarterly reports and perform a 941 reconciliation.
  •  Employee related matters
  • Act as primary liaison with staff on payroll, attendance and time off-related issues. Educate staff on payroll policies and procedures. Answer ad-hoc Fluence staff questions regarding payroll.
  • Review and address items in the ask Payroll inbox
  • Create off-cycle checks and process manual adjustments as needed. 
  • Review all employee state tax setup for accuracy
  • Perform W-2C’s as needed
  • Internal Controls
  • Ensure proper policies, procedures and internal controls are implemented by the Payroll Department. Revise and maintain policies and procedures as necessary. Implement any changes or additions to payroll procedures by ensuring the changes are properly communicated to appropriate staff (Payroll, Human Resources and/or all staff, if necessary).
  • Identify key controls and update policies and procedures as needed.
  • Seek opportunities for efficiencies and improvements to policies and procedures when appropriate.
  • Assist the manager, Payroll in ensuring the proper segregation of duties are in place within the payroll unit.
  •  401(k), Pension Plans and Other Accounting Related Benefits
  • Review and maintain voluntary benefits such as, 401K contributions, section 125 elections, pet and legal deduction to ensure accuracy and reconcile these amounts to the general ledger.
  • Assist with any 401k audit requests
  • Work directly with benefits department on benefits reimbursements, relocations and any one time payments.
  •  Other
  • Participate in conferences, seminars and other professional development activities to keep payroll expertise current to ensure accurate processing and reporting. Keep up-to-date on changes in payroll practices and labor and benefits administration regulations or laws.
  • Contribute to and participate in tasks and special projects for the Human Resource unit as assigned.
  • Reconcile and process ADP invoices for payment.
  • Proactively keep Manager, Payroll informed of status regarding day-to-day activities and issues as they arise.
  • Develop an effective working relationship with other staff at Fluence and serve as a trusted advisor on a management level relating to payroll issues.
  • What will you bring to Fluence?

  • Bachelor's degree preferred, or equivalent experience.
  • A minimum of four years of payroll experience is preferred
  • Experience working with web-based Workday and ADP Workforce Now preferred.
  • Proficiency with accounting-related or other budgeting software packages and Excel.   Experience linking software systems to Excel is preferred.
  • Excellent clerical abilities and strong mathematical skills. High attention to detail. Monitors and double checks work and information for accuracy and quality.
  • Strong interpersonal and communication skills (both written and oral). Ability to engage in clear and ongoing communications with staff and key stakeholders, translate technical payroll issues into easily understood terms and manage expectations.
  • Good organizational and solid project management skills. Able to manage priorities, juggle multiple tasks, organize time and identify internal resources to assist with projects. Able to develop and move projects forward with minimal supervision. A task-oriented style, with focus on achievement and process.
