We're looking for a Business Tools Analyst to join our Information Technology team. In this role, you'll take a lead in executing a strategic roadmap for the Business Tools function. You'll drive, design, and build out the required flows, usage and integrations between Smartsheet, Docusign Tableau, Jira, Jama and other SAAS applications.

As a Business Tools Analyst, you'll partner with IT and business teams to establish best practices, improve current and future project processes, and manage integrations and reporting. You will maintain a reliable, secure, and efficient process and data communication infrastructure.

You will work with Business Owners, Process Owners and end user communities to obtain business requirements based on current pain points and future system needs. You will promote cross-functional coordination through project planning, management, and the building of relationships. You will provide updates for business processes, business flows and policies and procedures. You will work collaboratively with Information Technology teams and business teams to accomplish company initiatives. You will seek to understand and maintain an awareness of business operations for the systems you support.

Salary Range: The compensation range for this position is specific to the locations listed below and is the range Lucid reasonably and in good faith expects to pay for the position taking into account the wide variety of factors that are considered in making compensation decisions, including job-related knowledge; skillset; experience, education and training; certifications; and other relevant business and organizational factors.
·       California (Bay Area) - $115,000 - $165,000

Additional Compensation and Benefits: Lucid offers a wide range of competitive benefits, including medical, dental, vision, life insurance, disability insurance, vacation, and 401k. The successful candidate may also be eligible to participate in Lucid’s equity program and/or a discretionary annual incentive program, subject to the rules governing such programs.  (Cash or equity incentive awards, if any, will depend on various factors, including, without limitation, individual and company performance.)

Administrative:

  • Drive the strategic roadmap and architecture for improved tool utilization through documentation, training, coaching, and optimization, enabling stakeholders to work with even greater productivity.
  • Be a technical expert on tool usage, standard methodologies, and implementation.
  • Document product solutions that align with the Lucid’s goals.
  • Develop and maintain documentation and end-user training materials.
  • Assist in the delivery management processes and enforcement.
  • Communicate, written and verbal, with technical and non-technical cross-functional team members.
  • Manage Smartsheet portfolio and reduce usage across Lucid, perform usage audits, provide proactive reporting to assist with annual licensing renewals, and maintain strong vendor relationships.
  • Representing IT Tools team while working with internal teams and external partners.
  • Resolve problems reported by end users.
  • Specify system requirements and design solutions (understand wireframe, backbone, under belly, dependencies,)
  • Research and make recommendations regarding Smartsheet system administration.
  • Teamwork:

  • Troubleshoot and fix technical issues in timely manner.
  • Work with the team to ensure consistent performance.
  • Work with teams across Lucid on cross-team initiatives.
  • Troubleshoot and resolve problems as part of our on-call rotation.
  • Develop and maintain operations tools.
  • Be an advocate to drive transformation of how we manage work.
  • Act as lead on projects assigned.
  • Work with PMO to keep project plan, budget and action items updated and current.
  • Provide communication and project status updates.
  • Facilitate project meetings.
  • Assist with developing implementation plans.
  • Work with management team to resolve issues.
  • Provide project status reporting.
  • Security and Compliance:

  • Implement security best practices to ensure the integrity and confidentiality of data stored within Smartsheet.
  • Support and administer integration with third-party applications (Ex: Tableau, Jira, Workato etc…)
  • Manage Smartsheet security and connectivity (Rights, permissions); Set up user accounts and permissions.
  • Adopt a global mindset when approaching Access and Authentication requests.
  • Ensure compliance with relevant industry standards and regulations.
  • Setup and workflows, as well as identify where functionality can/cannot meet user requests.
  • Providing assistance in the management and support of integrations between tools in development landscape, including: Jira, Confluence, SmartSheet, JAMA, Tableau, ServiceNow, Okta, SailPoint, Workato, Docusign, etc.
  • Understand and plan for release updates, plug in etc. for SaaS applications.
  • Define and document policies in conjunction with security and procedures where applicable for portfolio tools.
  • Minimum Qualifications:

  • BS in Information Technology or Systems
  • 4 years of experience with Smartsheet premium applications including Control Center, Data Mesh, pivot app, Bridge and complex formulas, Jira, and Atlassian suite of tools ie: JSM, Confluence, Assets, Plans
  • Experience with DocuSign template and workflow management, user permission and group membership maintenance.
  • DocuSign report creation, scheduling and supporting department requests.
  • Experience with JAMA and product requirement gathering environments.
  • Business Requirements gathering, documentation, and process flow mapping.
  • Strong computing skills with relevant software applications, including but not limited to: Microsoft Office Suite, Atlassian Suite, DocuSign, Asana or other PPM tools
  • Preferred Qualifications:

  • Experience in Project Management best business practices; Agile methodology a plus
  • Experience in Quality Assurance test methodologies
  • Strong at developing business relationships.
  • Familiarity with the Software Development Lifecycle (SDLC)
  • Experience with WASP inventory control is a plus
  • Able to work independently with minimal guidance in a rapidly changing environment.
  • Strong executive presence, facilitation skills, drive for results, attention to quality and detail, and a collaborative attitude.
  • Excellent customer service, communication, documentation, work prioritization and analytical skills.
  • Ability and willingness to go above and beyond the comfort zone when it comes to learning about other infrastructure services when needed.
