About the role....

As the Records and Information Manager, you will provide strategic leadership and support across the organization for the management of records throughout their lifecycle.  The ideal candidate has proven experience in developing and/or managing a records and information management (RIM) program and enjoys collaborating cross-functionally with stakeholders at all levels of the organization to help them achieve program deliverables.  You value and embrace diversity of perspectives and backgrounds and thrive in a fast-paced regulated environment where you can leverage your strong technical skills to lead and execute a variety of activities in support of our overall RIM strategy.  This role is based in Cambridge, Massachusetts and reports to the Senior Compliance Manager.

As Records and Information Manager, you will…

  • Develop company-wide policies, standards, procedures, guidelines and training designed to communicate records management policies and best practices to employees globally
  • Drive and lead RIM program development and/or continuous improvement initiatives, including effective prioritization of program or project deliverables (short, medium and long term)
  • Enable and lead stakeholders to ensure their full implementation of the RIM program across the entire organization
  • Design and implement a formal structure for effective lifecycle management of hard-copy and electronic records to ensure all records are created, maintained, handled, archived and destroyed securely through a recognized governance framework and in line with storage and retention requirements 
  • Maintain/update RIM program documents and processes as necessary based on Company needs and/or changes with regulations
  • Partner with functional record custodians as part of RIM-related initiatives or special projects and to ensure RIM controls, best practices and compliance considerations are part of daily operations
  • Engage and collaborate with key stakeholders (e.g., Legal, IT) in identifying, implementing and administering specialized tools/systems to support our RIM strategy. Integrate records management standards and best practices into systems and processes
  • Maintain detailed knowledge of our record retention schedule and record maps and be able to effectively communicate and enforce retention and disposal requirements
  • Help label/classify, store, locate and produce records as needed for business purposes, including for legal proceedings (e.g., legal hold requests) and/or audit support
  • Provide guidance and support to team members in preparing and shipping records for offsite archival and determining disposal of records no longer required for business or legal purposes
  • Monitor compliance with records management and other related policies globally through the performance of routine record reviews and audits (onsite/offsite)
  • Develop, monitor and periodically report/present RIM metrics to the Leadership Team or organization at large

 You Bring…

  • Bachelor’s degree in a relevant field providing exposure to information management (e.g., Business administration, Finance, Accounting, Information Technology, Health/Life Sciences, Biology)
  • A certification in Records or Information Management (e.g., CRM, IGP) is considered a plus
  • Minimum 3-5 years of records management experience, preferably in a global biotech/pharmaceutical company or another regulated industry large organization
  • Knowledge of records generated, maintained and/or handled by a Research & Development organization from early research to product development and marketing
  • Demonstrated ability to interpret and keep up to date on records management-related regulations and guidelines
  • Strong analytical skills with knowledge of various technology tools, enterprise content and document management solutions (e.g. Box), cloud-based platforms (e.g., Google Suite, Microsoft 365) and other storage solutions
  • Ability to establish strong and collaborative relationships with stakeholders at all levels, and to lead stakeholders in order to ensure their successful implementation of the RIM program across the entire organization 
  • Self-motivated, able to work independently in a fast paced environment and meet delivery timelines
  • A strong sense of purpose and drive to develop unique, high impact solutions
  • Adaptability and enthusiasm for new challenges, innate curiosity, and a passion for learning
  • Creative and strategic thinking, willingness to be bold and take risks, and the ability to recognize and learn from failure
  • Proven ability to effectively communicate with and present to a broad and diverse range of individuals and audiences
