We are looking for a Payroll & Benefits Manager to join our Finance team. You will ensure our most important asset, our people, are compensated as expected and in accordance with the law. You will serve as the primary resource responsible for day-to-day payroll and benefits activities, as outlined below and be the face of the payroll team in our new Devens facility. You will work onsite and be based at our San Carlos, CA office and will report into the Manager of Finance Operations.

Role and Responsibilities

  1. Payroll Processing & Management
    o Accurately and timely processing payroll in accordance with set pay schedules, employee offer letters, other compensation agreements, and employment dates. This includes regular, off-cycle, final, and correction runs.
    o Work with Leave Administrator, TILT, to ensure accurate pay for employees On Leave
    o Set up garnishments and mandatory insurance coverage.
    o Ensure compliance with all Federal, state, and local taxing and labor authorities.
    o Maintain accurate and complete documentation of all payroll activities.
    o Assist with payroll accounting, including reconciling and researching discrepancies.
  2. Benefits Management
    o Serve as the initial point of contact for benefit inquiries.
    o Work with our benefits broker and carriers to ensure successful employee enrollment and offboarding as well as audit invoices to ensure accurate billing.
    o Maintain compliance with employee withholdings and corporate contributions to 401k accounts and the FSA/HSA Programs; reconciling plans monthly to ensure accuracy.
    o Betterment 401k System Administration
    o Lead the Annual 401k Audit and assist Broker with Annual Benefits Open Enrollment.
  3. Government Tax and Compliance
    o Register for and maintain state and local payroll-related accounts.
    o Work with our payroll provider to ensure all notices are addressed timely and fully.
    o Own year-end activities, such as ACA Reporting and W2 distribution.
    o Pull wage reports for Monthly Worker’s Comp reporting and lead annual audit.
  4. Rippling System Administration
    o Manage the Payroll, Time Off, and Time & Attendance modules in Rippling. This includes configuring policies, earning/deduction codes, alerts, workflows, troubleshooting issues, regular auditing, etc.
    o Create and maintain reports used regularly as well
    o Stay up to date on product updates to ensure we are utilizing the system fully and ensure that changes do not negatively impact existing processes or configuration
  5. Inbox Management/ Payroll & Benefits Ticket processing
    o Proactively educate and answer questions from employees on their compensation and benefits as well as diligently resolve any issues related to such. Escalate questions promptly when unable to answer them
    o Responding quickly to 3rd party requests for employment verification.
    o Respond to requests for information related to state programs such as unemployment insurance and paid leave

Qualifications

  • 5+ years of payroll experience in a multi-state setting including new state registration, reporting, and closing accounts. Solid understanding of California and Massachusetts payroll laws
  • Experience with benefits administration, including but not limited to, eligibility requirements, open enrollment processes, and navigating the intricacies of qualifying life events
  • Experience working with various payroll and HR Information Systems (HRIS)
  • Comprehensive knowledge of pertinent federal and state regulations, filing, and compliance requirements affecting employee pay and benefits, including but not limited to ERISA, COBRA, FMLA, ADA, SECTION 125, Worker's Compensation, Medicare, Social Security, and DOL requirements
  • Experience with Rippling and Betterment.
  • Possession of relevant certifications such as Certified Payroll Professional (CPP) or Certified Employee Benefit Specialist (CEBS), a plus
  • Experience with Audits, such as Annual Financial Audits and Worker’s Compensation Audits, a plus
  • Experience with leave management and coordination with state and/or private insurance, a plus

$99,450$125,588 USD

Actual base salary offered to the hired applicant will be determined based on their work location, level, qualifications, job-related skills, as well as relevant education or training and experience.​
