What you'll do

  • Work with the Kraken EAs and wider group EAs to manage a seamless welcome for all Kraken clients (including brainstorming a new welcome system if applicable), making sure that all external guests are registered with the building reception 
  • Provide client refreshments & goodie bags for Kraken client meetings (including welcome drinks and lunch time food and our Kraken merchandise bags), as well as being the point person for any last minute client requests on the day (e.g last minute taxis)
  • Help with members of the wider Kraken team with managing their diaries, especially regarding client/external meetings and workshops, which may involve helping them book their travel (number of people tbc), book meeting rooms, liaise with the external clients, booking restaurants, booking taxis, booking couriers and other ad hoc tasks as required
  • Ensuring that the floor always looks presentable (filling up the Kraken merchandise, checking the meeting rooms before the meetings, floors are clear of mess)
  • To assist with the Office Manager with office management tasks as and when required
  • To assist the EAs with administrative tasks such as (but not limited to): Offsite arranging (such as venue sourcing, transport, communications to the team), updating Notion pages with current and relevant information, new starter onboarding (assisting managers with making sure building pass is ready, new laptop is ready etc)
  • To assist with Kraken events, such as Family Dinner set up (tech set up), assisting the EAs with team socials
  • Managing the Kraken merchandise, in terms of ordering for the office, maintaining the relationship with the vendors, sending merchandise to other offices and clients
  • Assist the EAs with holiday cover
  • Any other ad hoc duties as and when they arise
  • Flexibility with working hours, depending on client visitor’s needs
  • The role will be onsite in our London office (Oxford Circus)
