We’re now growing our all-star team of sharp, mission-driven, collaborative professionals as we continue to refine our process and move towards construction of our first production facilities.

Position Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO. This role is critical to ensuring the CEO can operate efficiently in a fast-paced environment. The ideal candidate thrives on managing complex schedules, executing projects, anticipating needs, and keeping priorities organized.


This role requires someone who is highly dependable, adaptable, and able to manage both professional and occasional personal administrative tasks with discretion and professionalism. This position requires you to be in or a commutable distance from Truckee, CA.

Key Responsibilities
Executive Support

  • Manage the CEO’s calendar, including scheduling meetings, travel, and events across multiple priorities and time zones

  • Prepare meeting agendas, briefing materials, and follow-up action items

  • Screen and prioritize communications including email, calls, and requests

  • Coordinate internal and external meetings with senior leaders, partners, and stakeholders

Project Coordination & Execution

  • Track and help drive key projects and initiatives on behalf of the CEO

  • Ensure deadlines and deliverables are met by coordinating across teams

  • Organize documents, reports, and presentations needed for decision-making

  • Assist in preparing presentations, board materials, and executive reports

Operational & Administrative Support

  • Arrange travel itineraries, accommodations, and logistics

  • Maintain organized systems for files, notes, and key information

  • Assist with planning company meetings, offsites, and events

  • Handle confidential information with discretion

Personal Assistance

  • Support personal administrative needs for the CEO (scheduling appointments, errands, etc.)

  • Coordinate and manage contractors

  • Help manage scheduling conflicts between personal and professional commitments



Qualifications
2–7+ years of experience as an Executive Assistant supporting senior executives or founders

Exceptional organizational and time management skills

  • Ability to manage multiple priorities in a fast-paced environment

  • Strong written and verbal communication skills

  • Highly proactive with strong problem-solving abilities

  • Ability to maintain confidentiality and professionalism

  • Proficiency with productivity tools such as Microsoft Office, Asana, Slack, and calendar management tools
