Position: Executive Assistant
Location: Berkeley, CA (Open to Remote)
Pivot Bio is seeking high-level administrative support for the CEO and the company’s Executive Leadership Team. The Executive Assistant will possess a strong business sense to guide them in making sound judgment calls, sort through multiple and sometimes urgent priorities, and manage sensitive matters confidentially. This role calls for creativity, curiosity, and a desire to work in a fast-paced, collaborative, and entrepreneurial environment.
PRINCIPAL RESPONSIBILITIES:
- Contribute to the efficiency of Pivot Bio by providing administrative support to the company’s Executive Leadership Team including managing calendars, booking travel arrangements, and preparing expense reports.
- Schedule and provide support for Board of Directors meetings.
- Draft, review and send communications on behalf of company executive(s)
- Organize and prepare for internal and external meetings, including gathering documents and attending to logistics of meetings
- Take minutes during meetings
- Answer and respond to phone calls, communicate messages and information to the executive
- Prioritize emails and respond in a timely manner
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the company.
KNOWLEDGE, SKILLS & ABILITIES:
- Excellent written and verbal communication skills
- Time-management skills
- Ability to pay attention to detail
- Highly organized
- Ability to manage and prioritize multiple projects
- Proficient with Microsoft products
- Maintain confidentiality and handle sensitive topics with discretion
EDUCATION/EXPERIENCE:
- 8+ years in an executive assistant role or similar, with at least 2 years providing administrative support to an executive team
- Bachelor’s degree or equivalent experience
